Introducing: TouchBase -
The integrated WEB SITE for InTouch Receipting

After many meetings and requests from our user community, we have completed the development of our integrated website to InTouch Receipting, entitled: TouchBase.

Business Requirements

  • ability to collect on line payments
  • ability to utilize credit cards for receipting functionality
  • moving a portion of the receipting chore to a web site as requested by parents
  • improving service to parents relating to fine and ledger reporting
Technical Overview
  • TouchBase is a website designed utilizing MS SQL Server 2000 loaded on an IIS server
  • TouchBase utilizes a db connection to the InTouch Receipting database
  • TouchBase will store information in the web database and will generate InTouch transactions using internal code – TouchBase and InTouch are both fully developed by Agilisoft, a Division of HD Baker

Credit Card Processing
  • TouchBase will use Verisign for electronic processing, the largest and most secure organization for internet transactions to maintain solid compliance with recent credit card regulations, no credit card information is stored in any database
  • credit card transaction fees are not borne by the District – there will be a convenience fee between 6 to 8% added to the transaction which will cover the processing fee managed by TouchBase
  • the District will have money directly deposited into the District accounts, no timing delay or third-party transfers – money will be in the amount of the transaction with no discounting

TouchBase is designed to provide a parent service in addition to a convenient payment portal. The services provided to the parent visitor without charges are:

  • ability to view student receipt ledger exactly as it is delivered by the site bookkeeper
  • ability to see open and closed fines exactly as it is prepared by the site bookkeeper
  • ability to reprint a receipt exactly as the original receipt – with same details and memo
  • ability to request a refund by a form submission
  • ability to submit athletic and activity information and forms (v2)

The parent, then, can view all the reports available at the site. The parent can make a decision to either pay for an item, fee or fine on line or process at the site as current.

Fees and items pushed up to the WEB All items in the web are “pushed” up from each site, individually. This is to allow each site to determine uniquely what items will be purchased, sold at what price and the description the items have on the website. Because this is a public site, TouchBase has a layer of security where a manager will approve items to be posted on the website.

There will also be items available at the website which are available to any person:

  • alumni items
  • fundraiser items
  • anything generic
  • athletic tickets
  • activity tickets
Security and relation between the parent, student and site

InTouch is built from the SIS system and contains all the students. When a parent signs up for the website, the parent submits a basic form with name, address, a unique identifier and the student(s) the parent wishes to be authorized to view. This information is sent to the site manager and the site manager determines if this is an appropriate match and will authorize (deny) the link. There can be many authorized users to any one child, perhaps a grandparent.

When the parent logs into the site the parent will be displayed the students assigned. These students, of course are assigned to (1) a site in InTouch. This link will determine what site’s items will be allowed purchase. For example, if the student was assigned to High School A, the parent will only see items appropriate for (a) High School A and (b) those generic items available to any visitor.

There are other criteria attached to items, for example, if a student must be a senior to purchase parking, this will be a criteria in the website for purchase.
